Who are we?
We are VELOGUIDE, and we’ve created a web and mobile app to connect a travelling cyclist to a Guide and a bike wherever they want to ride around the globe. VELOGUIDE INC. comprises VELOGUIDE and its subsidiaries including VELOLISTER. We are headquartered in Calgary, Alberta, Canada and our registered address is #217, 2505 – 17th Ave. S.W., Calgary, AB, Canada, T3E 7V3. What type of personal information do we collect from you?
You provide us information about yourself, such as your name, address, email address, and password, when you register for a Member account with VELOGUIDE. If you communicate with us by email, we may retain the content of your email messages, your email address and our responses. We may also retain any messages you send through the Service (“Service” is used throughout this document to describe the VELOGUIDE website and app service). You may provide us information in User Content you post to the Service. VELOGUIDE does not knowingly collect or save any information from children 13 years of age and younger.
VELOGUIDE collects your personal payment information, including information stored on outside services that you may use with VELOGUIDE, such as PayPal and Shopify. By submitting your payment information and/or linking your VELOGUIDE account with an outside payment service such as PayPal or Shopify, you authorize VELOGUIDE to access and use this information in order to provide you with and accept payment for the Service. This allows us to both confirm your identity and provide you with seamless, hassle-free transactions.
How is your information collected?
Every registered user has a unique user account. Each account is assigned a unique personal identification number (“Registration ID”), which helps us ensure that only you can access your Personal Information.
When you register a user account, we assign a Registration ID, then send this personal Registration ID back to your hard drive in the form of a cookie, which is a very small bit of code. This code is uniquely yours. It is your passport to seamless travel across www.VeloGuide.com and all related mobile applications, allowing you to download free software, order free newsletters, and request or confirm bookings without having to fill out registration forms with information you’ve already provided. Even if you switch computers, you won’t have to re-register – just log in to your user account to identify yourself. A cookie does not collect personal information about you, but may convey anonymous information about how you browse the Service to us. A persistent cookie remains on your hard drive after you close your browser. Persistent cookies may be used by your browser on subsequent visits to the site. Persistent cookies can be removed by following your web browser's directions. A session cookie is temporary and disappears after you close your browser. You can reset your web browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of the Service may not function properly if the ability to accept cookies is disabled.
IP Address and Logins
We log each visit to each web page on the Service. A log entry can contain information typically found in the "header" of your web browser's request such as the browser type you used, your Internet Protocol address, and the date and time of day. We may also log your cookie's identification number and the URL of the last site you visited. This log information is important for security, audit, quality improvement, as well as for monitoring the health and efficiency of our Service.
When you interact with us on social media platforms such as Facebook, Instagram and Twitter we may obtain information about you (for example, when you publicly tag us in a photo). The information we receive will depend on the privacy preferences you have set on those types of platforms.
Why do we collect information from you?
We will ask you when we need information that personally identifies you, provides personal account data, financial information, or allows us to contact you (collectively, “Personal Information”). Generally, this information is requested when you create an account on the site or when you download free software, enter a contest, order email newsletters or make a booking. We use your Personal Information for four primary purposes:
- To make the site easier for you to use by not having to enter information more than once.
- To help you quickly find software, services or information.
- To help us create content most relevant to you.
- To alert you to product upgrades, special offers, updated information and other new services from VELOGUIDE INC.
How do we use your information?
We Will Never Spam You.
We will only send you information directly related to your use of VELOGUIDE. You control when and how (e.g. email, SMS, etc.) we send most messages to you.
By providing VELOGUIDE your email address, you consent to our using the email address to send you Service-related notices, including any notices required by law, in lieu of communication by postal mail. You also agree that we may send you notifications of activity on the Service to the email address you give us, in accordance with any applicable privacy settings.
When you join us, you provide us with your contact information, including your name and email address. We may use this Personal Information to send you updates about your booking, questionnaires to measure your satisfaction with our service and announcements about new and exciting services that we offer. When you book with us, we ask for your credit card number and billing address. We use this information only to bill you for the services you order at that time. For your convenience, we do save billing information in case you want to order from us again, but we don’t use this information again without your permission. Please refer to the Booking, Payment & Cancellation Policy on www.veloguide.com for further details on payment procedures.
We may occasionally hire other companies to provide limited services on our behalf, answering customer questions about products or services, sending postal mail and processing bookings. We will only provide those companies the information they need to deliver the service, and they are prohibited from using that information for any other purpose.
VELOGUIDE will disclose your Personal Information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on VELOGUIDE or the site; (b) protect and defend the rights or property of VELOGUIDE and its family of Websites, and, (c) act in urgent circumstances to protect the personal safety of users of VELOGUIDE , its Websites, or the public.
VELOGUIDE may send you other messages in the course of operation of our Service, such as notifications from other Users, updates about Service changes and features, and important news that may impact your use of VELOGUIDE. These communications are considered directly related to your use of VELOGUIDE, and may contain banners, ads, or promotional material.
Termination or Deactivation
Following termination or deactivation of your Member account, VELOGUIDE may retain your profile information and User Content for a commercially reasonable time for backup, archival, or audit purposes, or to maintain and improve the Service -- for instance, for the safety of other Users, we may retain access to information about rides you have guided or booked for reliability and safety reports. Furthermore, VELOGUIDE may retain and continue to use indefinitely all information (including User Content) contained in your communications to other Users or posted to public or semi-public areas of the Service after termination or deactivation of your Member account.
VELOGUIDE support staff may review your personal information to provide the Service to you, if you request us to do so as part of a support call, to provide safety and security benefits, where it is required by law, and to maintain or diagnose issues with our Service.
How do we protect your information?
VELOGUIDE has taken extensive measures to protect the security of your Personal Information and to ensure that your choices for its intended use are honored. We take strong precautions to protect your Personal Information from loss, misuse, unauthorized access or disclosure, alteration, or destruction.
We guarantee your e-commerce transactions to be 100% safe and secure. When you place orders or access your Personal Information, you’re utilizing secure server software SSL, which encrypts your Personal Information before it’s sent over the Internet. SSL is one of the safest encryption technologies available.
In addition, your transactions are guaranteed under all applicable legislation protecting consumers from credit card fraud. For example, the Canadian legislation states that your bank cannot hold you liable for more than $50.00 in fraudulent credit card charges. If your bank does hold you liable for $50.00 or less, VELOGUIDE will cover your liability provided the unauthorized, fraudulent use of your credit card resulted through no fault of your own and from purchases made from us over our secure server. In the event of unauthorized use of your credit card, you must notify your credit card provider in accordance with its reporting rules and procedures.
VELOGUIDE strictly protects the security of your Personal Information and honors your choices for its intended use. We carefully protect your data from loss, misuse, unauthorized access or disclosure, alteration, or destruction.
Your Personal Information is never shared outside the company without your permission, except under conditions explained above. Inside the company, data is stored in password-controlled servers with limited access. Your Personal Information may be stored and processed in CANADA, THE UNITED STATES and MEXICO, or any other country where VELOGUIDE INC., its subsidiaries, affiliates or agents are located.
To protect your privacy and security, we take reasonable steps (such as requesting a unique password) to verify your identity before granting you access to your account. You also have a significant role in protecting your Personal Information. No one can see or edit your Personal Information without knowing your user name and password, so do not share these with others.
How do we share your information?
Personally Identifiable Information
As we develop our business, we may buy or sell assets or business offerings. Customer, email, and visitor information is generally one of the transferred business assets in these types of transactions. We may also transfer or assign such information in the course of corporate divestitures, mergers, or dissolution.
Any personal information or content that you voluntarily disclose for posting to the Service, such as User Content, becomes available to the public, as controlled by any applicable privacy settings. If you remove information that you posted to the Service, copies may remain viewable in cached and archived pages of the Service, or if other Users have copied or saved that information.
Sharing of Your Information with Business Partners; Expanded Service
We may use information about you in partnership with outside companies in the course of providing you with additional services related to VELOGUIDE. When you purchase, register, or otherwise express interest in a product or service offered by a third party through VELOGUIDE or sponsored on our site, you consent to our sharing your personal information with those parties. When you choose to participate in rewards programs, contests, discount offers, or other programs that involve third parties, you authorize VELOGUIDE to share your personal information with those parties. Such third parties are authorized to use information that is disclosed to them, in accordance with contracts and agreements between VELOGUIDE and third parties. In these cases we will only share the information reasonably needed to provide you with service. Information that is shared with third parties is subject to the privacy policies of those parties, which may differ from VELOGUIDE's privacy policies. By sharing this information, you agree that VELOGUIDE is not liable or responsible for the actions or inactions of third parties.
We may share non-personally identifiable information (such as anonymous usage data, referring/exit pages and URLs, platform types, number of clicks, etc.) with interested third parties to help them understand the usage patterns for certain VELOGUIDE services.
Third Party Use
Parents and guardians: we want to help you guard your children’s privacy. We encourage you to talk to your children about safe and responsible use of their Personal Information while using the Internet.
Protecting the privacy of young children is especially important. For that reason, VELOGUIDE does not knowingly collect or solicit personal information from anyone under the age of 13 or knowingly allow such persons to register as Members. If you are under 13, please do not send any information about yourself to us, including your name, address, telephone number, or email address. No one under age 13 is allowed to provide any personal information to or on VELOGUIDE. In the event that we learn that we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information as quickly as possible. If you believe that we might have any information from or about a child under 13, please contact us at email@example.com.
The VELOGUIDE site does not publish content that is targeted to children, although we recognize that some children may have a legitimate interest in the activities promoted by our company and Websites. If you are interested or concerned about your children providing VELOGUIDE any Personal Information without your consent, VELOGUIDE offers a Kids Account. It allows parents to give parental consent for the collection, use and sharing of children’s (ages 16 and under) Personal Information online.

- View and edit Personal Information you have already given us.
- Tell us whether you want us to send you marketing information, or whether you want third parties to send you their offers by email.
- Sign up for electronic newsletters about our services and products.
- Register. Once you register, you won’t need to do it again. Wherever you go on www.VeloGuide.com or any related VELOGUIDE mobile application, your Personal Information stays with you and your privacy is assured.
If you choose not to register or provide Personal Information, you can still use most of www.VeloGuide.com; however, you will not be able to access areas that require registration.

If you do not want us to communicate with you about other offers regarding VELOGUIDE products, programs, events, or services by email, postal mail, or telephone, you may select the option(s) stating that you do not wish to receive marketing messages from VELOGUIDE.
VELOGUIDE occasionally allows other companies to offer our registered customers information about their products and services. If you do not want to receive these offers, you may select the option stating that you do not wish to receive marketing materials from third parties.

Where we process your information based on our legitimate interests explained above, or in the public interest, you can object to this processing in certain circumstances. In such cases, we will cease processing your information unless we have compelling legitimate grounds to continue processing or where it is needed for legal reasons.
Where you have previously provided your consent, such as to permit us to send you company information and newsletters, you have the right to withdraw your consent to the processing of your information at any time. For example, you can withdraw your consent by updating your profile. In certain cases, we may continue to process your information after you have withdrawn consent if we have a legal basis to do so or if your withdrawal of consent was limited to certain processing activities.
Should you wish to raise a concern about our use of your information (and without prejudice to any other rights you may have), you have the right to do so with your local supervisory authority.
